A managed virtual seminar (sometimes referred to as a managed webinar) takes your virtual event to the next level. It allows you to focus on delivering highly valued content to your audience while the logistics are left to the experts. Our virtual events team is there to help throughout the entire process.

Here’s how that may look:

1. You book an online demo

This is the first step towards learning about what Express Virtual Meetings can do for you and how we customise our solution to meet your needs. We meet you via our platform and get to know your goals and requirements. We use this information to create a comprehensive event plan.

2. You choose whether your event will be virtual or hybrid

With all the uncertainty around COVID-19 and related social restrictions, a hybrid or completely virtual event are great options. If you choose a hybrid event with one or many locations, we ensure all sites are connected so that your virtual and in-person audiences are engaged and feel connected.

3. We build your comprehensive event plan for you

We understand that every event is different so we meticulously customise your event to suit your requirements. A complete event plan is built for you that covers;

  • your event date and time
  • customisations
  • registration process
  • event agenda
  • speakers
  • details about interactive components of your event such as facilitated, live Q&A or polling
  • the introduction and closing dialogue
    and so much more.

4. Customised registration process

We customised and manage your participant registration by building a registration process that is unique to your event and personalised to your participants. Your customised registration  is designed in house and includes these elements;

  • registration landing page and other pages as/when required
  • personalised registration confirmation email and reminder sequence that includes a custom calendar invitation (.ics file) and event joining instructions
  • registration management and provision of regular reporting on numbers

We also provide email notifications for rescheduled or cancelled events.

5. We build your event run sheet and facilitate a full dress rehearsal

The seamless, smooth running of a event depends on the preparation.

Prior to your event, we build and share with you, a detailed event run sheet that details event actions and times and all the associated details, so you (and if applicable your presenters) know what to expect ahead of time.

We also schedule a full dress rehearsal with our event manager and all of your hosts and/or speakers to allow us to do a dry run and ensure the technology is working for everyone and to answer any questions.

6. A dedicated event manager is hands on and with you all the way

You are never left alone as your dedicated event manager is with you from the initial planning stages, right through to event delivery. Event managers run your event and can also speak to you, other hosts, or presenters in a ‘virtual private room’ throughout your event.

Our technical team is also there to support your requirements, and ensure participants successfully join your event, should they experience technical difficulties.

7. We provide post-event reporting

After your event, we provide you with a detailed attendance report with participant names and email addresses  (and any other information collected at the registration stage). Information about entrance and exit times is also available.

If you had a voting/polling session during your event, we also provide polling results.
